Communication report – Interpersonal analysis AFFILIATION: Communication Report – InterpersonalAnalysis Introduction to organizational communication As the organizations are made up of individuals and groups for achieving the desired goals and objectives, it is mandatory for them to ensure that there are effective communication mediums within the business operations (Yu, 2010). The communication framework exists in both formal and informal ways as the employees have to interact with their colleagues and supervisors on an ongoing basis. Without communication, all business operations may be halted and there may be no progress in any work at all. Communication is extremely vital for everyone and for conducting any task. Although every organization has to develop a communication structure in the form of an organizational chart but there are some interactions which take place on the interpersonal level. For instance, when the employees of different departments interact with each other to exchange the relevant information, there communication line is not pre-defined; its just a temporary relationship which is formed for a matter of some time (West & Turner, 2010). The communication taking place may on informal grounds and at the personal level too. In some cases, the communication is embedded in the form of power of the rankings or team work which requires efficient cooperation and coordination activities. Likewise, gender communication is required so that the employees can work like a team and ensure that they collectively contribute towards the attainment of the organizational goals. With the help of having effective communication within the companies, the potential barriers which can impact the communication quality are removed and the right message is shared among the employees. The three areas of concern for all the organizations are to develop effective power line communication system so that there is clarity about the authority and accountability, fostering a climate of cooperation by avoiding the conflicts and negativity within the work environment and reduction of gender issues that arise because of the diversity existing within the present companies. Cooperation within the organization The organizations are made up of individuals coming from diverse backgrounds and each one of them has a distinctive personality and set of beliefs. Hence, it is vital for the organizations to understand the needs of every employee and ease the communication gap which can exist among the workforce so that everyone works like a team and assists an organization in achieving its targeted goals and objectives (Heynes, 2012). It has been demonstrated in the contemporary organizations that cooperation among the employees is enhanced with the help of open communication framework. When the employees feel comfortable while talking to their supervisors and colleagues, there is a high probability that a positive work environment is created and there are less chances of conflict among the organizational members. The main idea behind cooperative interpersonal communication is that everyone should share the common vision about the organization and there should be clarity about the roles and responsibilities of each individual. When the employees are shown the contribution that they are making in the organization’s effectiveness, they feel motivated and the elements of jealousy and competition is minimized to a great extent. Employees need to be valued by the firm so that they feel their presence is important for the firm and this also gives them a feeling of acceptance. Although some level of competition is desired for the performance enhancement of the organization but there should be a balance between normal and intense level of competition. However, cooperation within the organization is given a boost when everyone develops cordial relations with each other and collectively employ their skills, competencies and abilities. Power within the organization In every organization, there is a certain hierarchical framework so that the employees are given visual representation about their lines of reporting and direction. Since there are various rankings within each company, every position has a specific power and status within the complete organizational structure. With the help of this structure, the power within the business operations is properly divided. It even ensures that the lower level employees are held accountable for their decisions and actions; even the employees working on the lower management status have certain power of making decisions and they are not denied of their rights. In most of the organizations, it has been observed that certain managers and supervisor misuse their power by not developing effective interpersonal communication skills and misguide their subordinates as well. Managers may show biasness and at times may overload any certain employee with too much work which may be the work of some other employee. Hence with clear reporting structure, the employee can approach higher authorities to complain about the misuse of power and overburdening of work. However, with the help of effective interpersonal communication which exists within today’s organizations, the power distance is minimized and most of the supervisors and managers believe in taking their subordinates ahead in the form of team (Yu, 2010). Almost all the well-known organizations have utilized the interpersonal communication tools to demonstrate their willingness to reduce their power role and create a friendly and cordial working environment. Since the power culture has been reduced by significant amount, the effectivenss of organizations has increased to a great extent which is even evident in the form of an organization’s enhanced performance. In other words, the profitability of the organizations has risen as a result of effective communication among the employers and employees. A fair and just working environment leads to suuccessful results for the organization by the employees. Gender Communications Since the workforce is comprised of both men and women, it is vital for the organizations to understand the different working perspectives which are held by each gender. For instance, men and women have different attitudes towards the management of people and giving orders; women take things in soft manner while men approach the work more directly (Ramaraju, 2012). Most women prefer to maintain harmony within the work environment so that the relationships among the employees are enhanced; while, men tend to get more harsh and are least bothered about maintenance of the relationships. Similarly, women prefer to ask questions in more detailed way rather than simple manner; women want clarity about the instructions as they want to avoid any mistakes in their work. However, men take every order as a challenge and try to fulfill it as per their understanding; they believe that mistakes provide opportunities for enhancing the learning done during the job (Heynes, 2012). Likewise, the understanding about the key differences about the work perceptions held by men and women ensure that the effective communication mediums are employed for ensuring efficient gender communication within the organization. When the organizations take account of the communication needs of every employee, there is high probability that the exchange of information and ideas become an effective and productive process. With the advent of time and developments in the field of technology, the communication methods have become efficient and exchange of information has become a productive and fast process. Conclusion In today’s competitive and ever changing business environment, it has become mandatory for the companies to give utmost attention to the communication requirements. Since the employees are presented with a wide range of opportunities for switching to other jobs, the organizations have to ensure that they treat them as an integral part of the business operation and provide them the required tools for facilitating the communication process. With the help of effective communication channels and availability of feedback option, it will be ensured that everyone has clarity about the organizational goals and objectives. When the appropriate set of tools are employed within the organizaiton and every employee is given equal chance of enhancing the cooperation and effectiveness within the company, there are huge chances that the organization enhances its effectivenss within the market environment. Therefore, a well-integrated communication framework is vital in today’s organization for motivating the employees and remaining competent within the business environment. The key benefits which are highlighted with the interpersonal communication is that there is increased cooperation among the employees, the power culture is reduced and gender communication is further enhanced. As a result, there is uniformity about the vision which the employees have to achieve, employers and employees have strong working relationship and gender discrimination is avoided. Hence, the companies will be able to create a conducive, cordial, positive and productive business environment which will be evident in the form of increased profitability and enhanced performance in the long-run. While working on the communication report, I learnt the importance of communication and the major benefits it has in the organizations. Proper communication can lead to the effective work procedures along with fairness and justice. No one employee can be treated unfairly and with a proper communication channel, the employees can approach higher authorities as well so that their problems and issues are well addressed. Power and control within the firm should be used properly and shouls be used when required. The job roles can be stated in a clear manner and this would lead to desired level of success for the firm.
